Privacy Policy

1. Who we are

VoocType is a real-time voice dictation service operated by Sajid Ali (“VoocType”, “we”, “us”), the data controller for personal data processed through the service. This Privacy Policy explains what we collect, how we use it, who we share it with, and the choices you have. By using VoocType you agree to this policy.

2. Information we collect

• Account data — name, email, hashed password, profession preset.
• Voice audio — streamed in real time to our transcription provider (AssemblyAI). Audio is not stored on our servers.
• Transcripts & documents — text you dictate or edit, saved to your account.
• Custom vocabulary — words you add to improve accuracy.
• Usage data — minutes dictated, feature usage, error logs, IP address, device and browser info.
• Billing data — collected and processed by Paddle (see Section 4). We receive limited metadata such as subscription status, plan, country, and the last four digits of the card — never full payment details.

3. How we use your data

We use your data on the legal bases of contract performance (to run the service you signed up for), legitimate interests (to secure, debug, and improve the product), and consent (where required, e.g. optional analytics). We do not sell your personal data or transcripts, and we do not use your content to train third-party foundation models.

4. Third parties we share data with

• Paddle.com Market Limited (“Paddle”) — our Merchant of Record. Paddle handles all payments, subscriptions, invoicing, tax, and refunds, and acts as an independent data controller for billing data (name, email, billing address, payment method, transaction history). See Paddle’s Privacy Notice.
• AssemblyAI — real-time speech-to-text (audio + transcripts in transit).
• Lovable Cloud — database, authentication, and hosting.
• Authorities — where required by law or to protect our rights.

Each processor is bound by their own data-processing terms. Audio is streamed over encrypted WebSocket (TLS) and is not persisted by us after the session ends.

5. International transfers

Our processors may store or process data outside your country, including in the US and EU. Where data is transferred out of the UK/EEA, we rely on Standard Contractual Clauses or equivalent safeguards offered by each processor.

6. Data retention

Documents remain in your account until you delete them or close your account. Deleting a document removes it from our database. Account deletion removes your profile, documents, and vocabulary within 30 days. Billing records retained by Paddle are kept for as long as required by tax and accounting law (typically 7 years).

7. Your rights

You can access, export, correct, or delete your data at any time from Settings, or by contacting us. If you are in the EU/UK, you have rights under GDPR including access, rectification, erasure, restriction, portability, objection, and the right to lodge a complaint with your local supervisory authority. We respond within 30 days.

8. Security

Data is encrypted in transit (TLS) and at rest. Access is protected by row-level security so only you can read your documents. No system is perfectly secure; report suspected issues to security@vooctype.com.

9. Cookies

We use strictly necessary cookies to keep you signed in and to remember your preferences. Paddle sets its own cookies inside the checkout to prevent fraud. We do not use advertising or cross-site tracking cookies.

10. Professional use disclaimer

VoocType is a productivity tool. It is not a certified medical, legal, or clinical record system. You are responsible for reviewing transcripts before using them in regulated workflows.

11. Changes

We may update this policy as the product evolves. Material changes will be announced in-app or by email at least 14 days before they take effect.
